Privacy Statement Data Protection
The British Masters Athletic Federation (BMAF) is constituted by a number of athletic Associations and Clubs who own and are responsible for the affairs of the BMAF. The BMAF is an unincorporated organisation and is not a legal entity. As such it does not have any legal liability. The Constituent Associations and Clubs are affiliates to the BMAF and are the only members of the BMAF. The Constituent Associations and Clubs have individual members. The Executive maintains, either itself or via an appointed service company, a National Register of masters athletes who are members of Associations and Clubs affiliated to the BMAF. It is not possible for an individual Masters athlete to become a direct member of the Federation.
The following self-governing Associations and Clubs shall be affiliated to the BMAF and shall be responsible for the conduct of Masters Athletics in their own areas, subject to the general regulations of the BMAF:

- Isle of Man Veteran Athletes’ Club
- Midland Masters Athletic Club
- Northern Ireland Masters Athletics Association
- Northern Masters Athletic Club
- Scottish Veteran Harriers Club
- Southern Counties Veterans Athletic Club
- South West Veterans Athletic Club
- Veterans Athletic Club
- North East Masters Athletics Association
- Welsh Masters Athletics Ltd
- England Masters Athletics Association
BMAF Services Limited is responsible to BMAF for all the data covered by the BMAF and its affiliated associations and area clubs.
The BMAF, BMAF Services Limited, England Masters Athletics Association, and all of the affiliated associations and area clubs, all accept that they jointly and severally Data Processors under the General Data Processing Regulations (GDPR) and are pro-active in ensuring compliance is followed and achieved in regards to all member data processed under it’s auspices. We strive to comply with the GDPR and will constantly monitor and improve the policies and processes we work to.
The General Data Protection Regulations
The new General Data Protection Regulations sets rules for processing personal information and applies to structured paper records as well as data held on personal computers.
BMAF’s Use and Storage of Data
The GDPR Act states that those who record and process personal information must be open about how the information is used and must follow the eight principles of ‘good information handling’. These principles state that data must be:
• Fairly and lawfully processed,
• Processed for limited purposes,
• Adequate, relevant and not excessive,
• Accurate,
• Not kept for longer than is necessary,
• Processed in line with your rights,
• Secure, and
• Personal data will not be transferred outside the European Economic Area unless the country provides an adequate level of protection.

How does BMAF collect data?
There are several means by which BMAF collect personally identifiable data, for example:
• Through membership application form,
• From previous event entry forms held,
• By entering into email or telephone correspondence with a BMAF official.
Personal information we may collect from you.
Depending on the type of membership or event entry you register with us, you may initially provide us with or we may obtain personal information about you, such as information regarding your:
• personal contact details that allows us to contact you directly such as name, title, email addresses and telephone numbers,
• membership start and end date,
• records of you interactions with us such as telephone conversations, emails and other correspondence and your instructions to us,
• records of past event entry forms,
• images in video and/or photographic form and voice recordings for use on the BMAF website.
• your marketing preferences so that we know whether and how we should contact you.
Is information passed to Third Parties?
No information is passed to Third Parties except for what is passed by the area clubs onto their respective home country athletics federations (EA, WA, SA, ANI), who are entitled to receive the personal data of athletes who are members or an officer of one of the area clubs, in accordance with their own roles as Data Processors of their data under GDPR regulations.
Access to personal information?
BMAF tries to be as open as it can be in terms of giving people access to their personal information. You can find out if we hold any personal information about you by making a ‘subject access request’. Make your request, in writing, to the BMAF Hon. Secretary via the contacts page for BMAF Officers.
Your request should include details and provide documented evidence of who you are (e.g. driving licence, passport, birth certificate). You should also provide as much detail as possible regarding the information you wish to access (e.g. where and by whom information is believed to be held, specific details which will help us locate and retrieve the information.
If we do hold information about you we will:
• give you a description of it,
• tell you why we are holding it,
• tell you who it could be disclosed to,
• let you have a copy of the information in an intelligible form.
All efforts will be made to provide you with a response within 30 working days. In any event, you will receive all the information that has been located and can be released within 30 days and an explanation for any information that cannot be provided at that time.

If these Terms and Conditions are not accepted in full by anyone in the organisations named above, they do not have permission to access the contents of this website and the associated database of membership data and therefore they should cease using it immediately.
